Selling Gift Cards from POS

Your organization might sell gift cards in-store and online. This article provides instructions on selling gift cards from the store using the point of sale (POS).

Zenoti allows you to sell the following two types of gift cards:

  • Amount gift cards: Amount gift cards are sold for a specific price and are not tied to any specific service. A guest can use the card to redeem any item that your organization allows. Read: What are Amount and Service Gift Cards?
  • Service gift cards: Service gift cards allows the guest to buy a gift card whose price is equal to the price of the service. The gift card recipient can still go ahead and use this card to redeem other items that your organization allows. Read: What are Amount and Service Gift Cards?

Selling an Amount Gift Card from POS

To sell an amount gift card, follow these steps:

  1. Navigate to the appointment book and launch POS.
  2. In the guest details section at the top of the POS, enter either the mobile number, email address, first name, or last name of the guest, and select a matching record from the list of suggestions. If the guest record doesn't exist in system, then create a new guest record.
  3. Click the Gift Card tab.
  4. Select Gift Card Type: In the Type field, make sure Amount is selected.
  5. Enter gift card details:
    1. Card#: The card number is typically a code associated with the gift card. The user can use this code to redeem a gift card, check the balance, or other gift card details. You can configure this number to be auto-generated at the organization level. If your organization doesn’t use an auto-generated code, manually enter the gift card number.
      Note: If your center sells physical (printed) cards, the gift card number is written or printed on the card. You need to enter the printed card number in the Card # field, either manually or using a gift card reader.
    2. Price: Enter the gift card price. Price is the amount for which you sell this card to the guest (excluding taxes, if any).
    3. Value:  This field automatically displays the price of the gift card that you enter in the Price field. If you want to provide a higher redemption value on this card over its price, enter the value here. Learn more: What is Price and Value in a Gift Card?
      Note: Based on your organization settings, authentication may be required to enter a different value. Also, the value, if different from price, cannot be changed once the invoice is in “closed” status.
  6. Enter sale details:
    1. Sale By: From the drop-down list, select the name of the employee who sold the gift card.
    2. Notes: Enter any notes pertaining to the sale. The notes entered will appear in the Gift Card tab in the guest profile and in the Pre-paid/Gift Card Details window in the appointment book.
  7. Provide gift card validity:
    Note: Based on the organization settings, this field may auto-populate a default validity period. Any date or days manually entered will override the default days provided at the organization level.
    1. Enter either the gift card Expiry Date or Expiry Days.
      • Expiry Date: From the calendar, select the expiry date for the gift card. This is the date when the card expires. Any balance will automatically lapse.
      • Expiry Days: Enter the validity period for the card. For example, if you enter 90 days, then the card will lapse after 90 days.
        Note: If the Expiry Date and Expiry Days fields do not display in the POS or are left blank, it means your center does not allow gift cards to expire. In the guest profile, the card would appear with expiration status as “Never Expires”.
    2. One time use: If it is a one-time use card, select the One time use check box. Such cards are usable only once and any balance amount on the card automatically lapses after the first use.
  8. Enter recipient details and trigger notification:
    1. Recipient: Select gift card recipient from the guest list.
      • If the guest is not in the system, click the add recipient icon  to add a new guest with the recipient details. In the New Guest pop-up window, enter the guest details.
        A new profile gets created for the recipient.
    2. Occasion: From the drop-down list, select the occasion.
    3. Send an email to recipient: Select this field to trigger an automated email to the gift card recipient. Also, this check box must be selected if you want to allow resending a gift card email to the recipient after it is sold.
  9. Add gift card and close invoice:
    1. Click Add Gift Card. The gift card gets added to the invoice.
      Note: If the recipient is already a guest at your center, and does not have an email address registered, then a pop-up appears to add the recipient’s email address. Enter the email address and click Save.
    2. Collect payment and close the invoice.

Selling a Service Gift Card from POS

To sell a service gift card, follow these steps:

  1. Navigate to the appointment book and launch POS.
  2. In the guest details section at the top of the POS, enter either the mobile number, email address, first name, or last name of the guest, and select a matching record from the list of suggestions. If the guest record doesn't exist in system, then create a new guest record.
  3. Click the Gift Card tab.
  4. Select Service Gift Card Type and add the service(s):
    1. In the Type field, make sure Service is selected.
    2. Enter the service name in the Service field and click Add.
      Similarly, you can add multiple services to the same gift card.

      Note: When multiple services are added, you can click the link below Service field to view or delete the services added.
  5. Enter gift card details:
    1. Card#: The card number is typically a code associated with the gift card. The user can use this code to redeem a gift card, check the balance, or other gift card details.   6. Enter sale details:
