Redeeming Loyalty Points

Overview

In this article you will learn how to redeem loyalty points earned through loyalty programs (both Regular and Tiered).

Points Redemption: Pre-tax and Post-Tax

For a Regular Loyalty Program and Tiered Loyalty Program (if configured for closed invoices), you can specify if the points must be accrued or redeemed on the pre-tax or the post-tax amount. For more information on closed invoices, see the Consider only Closed Invoices section of Configuring a Tiered Loyalty Program.

Below are examples to understand how points are redeemed in pre-tax scenario:

  • Points Redemption: Pre-Tax
    If a guest avails a service worth $500, the tax is 5%, and if the guest redeems 60 points (where 1 loyalty point equals 50 cents), let us see how it affects the final amount:
    Redemption: Pre-Tax
    Cost of Service $500
    Points to Redeem $30 (60 x$0.5)
    Amount Due` $470
    Tax at 5% on Amount Due $23.5
    Total Due $493.5
  • Points Redemption: Post-tax
    If a guest avails a service worth $500, the tax is 5%, and if the guest redeems 63 (where 1 loyalty point equals 50 cents), let us see how it affects the final amount:
    Redemption: Post-Tax
    Cost of Service $500
    Tax at 5% on Cost of Service $25
    Amount Due` $525
    Points to Redeem $31.5 (63 x $0.5)
    Total Due $493.5 

Regular Loyalty Program: Points Redemption

During redemption of points from Regular loyalty program, you must be aware of the following: 

  • You can choose the loyalty program from the Loyalty Program field in POS (if the guest is part of more than one loyalty program) from which the points must be redeemed from.
  • The points of the selected loyalty program which are set to expire first are redeemed first (this is by design).
  • The guest cannot use points to pay for tips, memberships, day packages, pre-paid cards, and gift cards.
  • Points redeemed from Regular loyalty programs are redeemed based on your pre and post-tax settings.

Tiered Loyalty Program: Points Redemption

During redemption of points from Tiered loyalty program, you must be aware of the following:

  • You can choose the tier from the Loyalty Program field (if the guest has points accumulated from more than one tier) from which the points must be redeemed from.
  • The points of the selected tier which are set to expire first are redeemed first (this is by design).
  • The guest cannot use points to pay tips, memberships, day packages, pre-paid cards, and gift cards.
  • Points redeemed from Tiered loyalty program are always redeemed on the post-tax amount (unless configured for closed invoices. For more information, see the Consider only Closed Invoices section of Configuring a Tiered Loyalty Program).

 Redemption Process

The process to redeem loyalty points is the same for both Regular and Tiered loyalty programs.

To redeem loyalty points against an invoice:

    1. Open the Take Payment screen of an appointment (click on the appointment and select Take Payment). The invoice opens.
    2. In the COLLECT PAYMENT section, click POINTS. The options available to redeem points appear.
    3. All the loyalty programs (for Regular loyalty program) or Tiers (for Tiered loyalty program) of the guest are displayed.

    4. Select the desired loyalty program or tier whose points you wish to redeem. Enter the points to redeem and click the Add Payment button.
    5. The loyalty points redemption details are displayed at the left-top corner (for pre-tax redemptions) or right-bottom corner (for post-tax and tiered loyalty programs) of the invoice.

    6. If there is any balance pending after redeeming points (due to restriction on the points to redeem or if the guest wishes to redeem only a portion of accrued points), you can complete the payment using other payment options (cash, credit, etc.)
    7. Click the desired Close button (print or mail), to close the invoice.
    8. Based on your selection of Close button, an option to print a receipt or an e-mail confirmation comes up.
    9. In addition to regular details, the receipt or e-mail has information on redeemed, accrued, and balance points.
