Enabling the Club Automation Payment Type

 

Club Automation is an online Club Management solution that helps small-to-large health and fitness facilities run their operations. Organizations that use Club Automation to manage their health and fitness facilities can integrate it with Zenoti to seamlessly use member credits for spa or salon services. You can either add this payment type to the Point Of Sale (POS) of an individual center or to your entire organization. Once you complete the integration, you can see Club Automation listed under the custom payment types in the POS. 

How to enable Club Automation payment for the entire organization

To allow Club Automation memberships to be used across all centers, configure the settings at the Organization level. Follow these steps to do so:

  1. Make sure you are in the organization view.
  2. On the main menu, click Admin.
  3. On the Admin Dashboard, click Organization > Organizations > Payments
  4. On the Payments tab, click Club Automation.

  5. Select the Enable Club Automation check box. 
  6. Enter the following information:
    Field Description Field Values
    Agent Name Name as it appears on the Point of Sale screen. All Club Automation payments on Zenoti will be represented by this name. Example: Club Automation. Enter a name
    Instance Id Club Automation Instance Prefix - a unique ID that you want to send the authentication request to. Contact your Club Automation representative to get these values
    Sub Domain  
    Auth User Id The Used Id for authenticating the request to Club Automation
    Auth Password The Password used for authenticating the request to Club Automation

How to enable Club Automation payment for a specific center

To limit Club Automation memberships to be used at individual centers, configure settings at the Center level. Follow these steps to do so:

    1. From the list of centers at top of your screen, select a center to enable the Club Automation payment.

    2. On the Admin Dashboard, click Organization > Centers.
    3. On the Manage Centers window, click the center name.
    4. On the Edit Center window, click the Payment tab, and then click Club Automation.

    5. Select User center settings, then select the Enable Club Automation check box.
    6. Enter the following information in the relevant fields:
      Field Description Field Values
      Agent Name Name as it appears on the Point of Sale screen. All Club Automation payments on Zenoti will be represented by this name. Example: Club Automation. Enter a name
      Instance Id Club Automation Instance Prefix - a unique ID that you want to send the authentication request to. Contact your Club Automation representative to get these values

How to collect payment using the Club Automation membership

Read the Taking Payments article to learn the basics of how to collect payments in Zenoti. 

  1. On the Point of Sale screen, in the Collect Payment section, click the Custom tab.
  2. From the Payment Data list, click Club Automation.
  3. Start typing either the guest's Membership Card Number or the Membership Name, and select the matching record from the list of suggestions. 
  4. Click Add Payment

  5. If the transaction is successful,the payment is deducted from the guest’s membership balance, and the details are added to the bottom of the screen.

  6. If there is insufficient balance or if the guest is not authorized to make payments using the membership, the system shows an error message on the screen, indicating that the transaction has failed.

How to refund the Club Automation payment

  • To refund a Club Automation payment, reopen the invoice associated with the transaction and remove the payment.

How to review the Club Automation payments

Club Automation payments can be viewed at the individual center level. Follow these steps to do so:

  1. On the Admin Dashboard for the center, click Reports > Financial – Collections.
  2. Select a Report list, click Collections Report, and in the All Custom Payment Types list, select Club Automation.
