Entering Service Custom Data

The Service Custom Data form allows you to capture essential guest data for services that require careful administration. Based on your business requirements, you can create custom service fields for specific services and make them available as a prerequisite for that service. For instance, to effectively administer a hair spa service, you can create custom fields to record the guest name, age, hair density, scalp type, hair texture, preferred oil, etc. This information helps you personalize the guest’s experience.

Note: Service custom fields are created from the Admin mode at the organization or center level.

Using Zenoti, you can enter service custom data:

  • Manually: Enter the information from the appointment book or guest profile
    or
  • Email the custom data form link to the guest from the Appointment book: The service data form link is available only for services that require custom data to be filled in. The guest can access the form from their account on the webstore. 

Follow the appropriate section below:

 

Entering Custom Data from the Appointment Book

  1. On the appointment book, click the guest appointment block, and click Enter custom data.
    Note: You can view this option only for services that require custom data to be filled.
    Example:
    For a Balinese Massage service, custom fields are created at the organizational level to record the guest’s skin type, massage pressure, and massage oil preference information, etc. Hence, whenever a guest books this service, the Enter custom data option is visible.
  2. Perform the following actions in the service data form window:
  • General tab: In the general tab, enter the relevant service data information. Click any of the below options after entering the information:
    • Send mail: Click to email the form to the guest.
    • Print: Print the form for the service.  
    • Save: Save the guest details as it is and any later changes made to the data will override the current information.
      Note: Changes made to the data will override any prior data and you cannot view the details in the History tab. To be able to view prior details, use the Save a Version option below.
    • Save a Version: Using this option allows you to save your entries as the latest version.  At any time, you can browse through previous data versions from the History tab. You cannot however edit previous data versions.
  • History tab: Click the History tab to view the list of previous form entries that were saved as a version. This could help you analyze the progress made by the guest since they first started taking the service.
    Note: All data saved using Save a Version option is stored here.

 

Entering Custom Data from the Guest Profile

  1. Navigate to the guest profile. Learn How to View the Guest Details Page.
  2. Click the Appointment tab.
  3. Click the View or enter custom data related to this service icon next to the service. 
  4. Perform the following actions in the service data form window: 
  • General tab: In the general tab, enter the relevant service data information. Click any of the below options after entering the information: 
    • Send mail: Email the form to the guest.
    • Print: Print the form for the service.  
    • Save: Save the guest details as it is and any later changes made to the data will override the current information.

Emailing the Custom Data Form Link from the Appointment Book

Send the service data link to the guest, for service appointments booked over the phone or via the webstore. The service data link is available only for services that require custom data to be filled in. The information submitted by the guest is automatically captured into the system, and will show in the guest’s profile Appointment tab.
Note: Based on your organization settings, the guest may have to log in using the username and password to complete the form. Read: Preventing Unauthorized Access to Service Custom Data Form

To email the link:

  1. On the appointment book, click the guest appointment block.
  2. Select Send Custom Data Link.

    Note: The Send Custom Data Link will not be visible if the booked service does not require a service custom form to be filled.
    Note: The guest can access the form from their account on the webstore. The form cannot be accessed, if the organization has not purchased the webstore add-on.
