Modifying an Appointment

While appointments may be booked in the Appointment Book, these are always subject to change. Guests may need to reschedule appointments, may request for more Services, or may change their mind about a Therapist and request a new one. Zenoti allows the front desk to keep pace with changing demands and preferences of guests. 

The front desk can make the following changes to an appointment:

  • Reschedule an Appointment: At times, guests may not be able to come in time for their scheduled appointments due to personal circumstances - some urgent work may come up, a family member may need attention, or weather may be bad. In such cases, the front office can reschedule the existing appointment either to the same day or move the appointment to a new date. 
  • Change the Therapist: In some other cases, guests may ask for a change in Therapist because they heard a better review about a Therapist from a friend. The front desk can easily change the assigned Therapist, and find a new slot in the desired Therapist’s schedule. 
  • Add more Services: A guest may also realize that she has more time on her hands and may request for more Services than planned or scheduled earlier. The front desk can add more Services for the guest. 

To reschedule an Appointment on the same day: 

  1. Open the Appointment Book.
  2. Navigate to the appointment that you want to reschedule.
  3. Drag the existing appointment and drop it in the desired time slot on the Appointment Book.
    The appointment is rescheduled.
    Tip: You will need to drop the appointment in a vacant slot either for the same Therapist or in an empty slot for the new desired Therapist. You may also extend the appointment time or reduce the time for a treatment by just dragging the four dots on the appointment (see screenshot). 

     

To reschedule an Appointment to a later date: 

If the guest wants to reschedule the appointment to a later date, say on the coming weekend or the following week, then follow these steps.

  1. Open the Appointment Book.  
  2. Navigate to the appointment that you want to reschedule.
  3. Select the appointment, and click Modify Appointment.
  4. Open the Calendar and select the new date.
    Click an empty slot against the desired Therapist on the new date and click Save
    The appointment is rescheduled.
    Note: The orignal appointment is no longer visible because it has been moved.
    Example: Suppose a guest booked an appointment on 5 October (Wednesday), but requested the front office to move it to 8 October (Saturday). After the front desk moves the appointment, the orginal appointment on 5 October will no longer be visible on the Appointment Book (beacuse it is now moved to 8 October). If you move the date on the Calendar to 8 October, you can view this appointment for that day on the Appointment Book.

To change the Therapist assigned to an Appointment:

You can change the Therapist assigned to an appointment using two methods:

  • Method 1: Update Therapist using Drag and drop method.
  • Method 2: Update Therapist from the Appointment Info panel.

Method 1: Update Therapist using Drag and drop method.

  1. Open the Appointment Book.
  2. Navigate to the existing appointment booked against a Therapist. 
  3. Drag the guest’s appointment from the original Therapist’s column and drop the appointment to the desired Therapist’s column.
    ​The new Therapist is assigned to the Appointment.

Method 2: Update Therapist from the Appointment Info panel.

  1. Open the Appointment Book.
  2. Navigate to an existing appointment.
  3. Click New Appointment
    The Apppointment Info panel opens. 
  4. Select a new Therapist from the Therapist column. 
  5. Click Save.
    The new Therapist is assigned to the Appointment.

To add more Services:

1.  Click an appointment and click Modify Appointment

2.  Add or modify Service details in the Appointment Info panel.
Tip: You may add more Services from the Services tab. Or click Book Multiple to book multiple Services. 

3.    Click Save.
The Appointment is updated with the changes.
